Privacy notice.

This notice explains how FTSTECH collects, uses, stores and discloses personal information when you contact us, book a demo or use our customer portal at app.ftstech.ai, how long we retain it, and how you can reach us about it. It does not apply to the Claridis appliance, which operates within your own infrastructure and sends no information to FTSTECH unless you choose to send us information from it, such as a support report.

About us

FTSTECH AUSTRALIA PRIVATE LIMITED (ABN 83 702 407 449), trading as FTSTECH, handles personal information in accordance with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

Information we collect

  • Enquiries: when you submit an enquiry through the form on this website, we collect your name, email address, organisation, role, sector, area of interest and message.
  • Demo bookings: when you book a demo, we collect your name, email address, company, role, the product, the scenario, whether you request a self-paced or guided demo, the time slot you select, and the time zone reported by your browser. Access to a self-paced demo requires a link, a one-time PIN sent to the email address used for the booking, and an access code we send to you by email; these are valid from 10 minutes before your slot until it ends.
  • Self-paced demo sessions: we keep a record of each session, comprising the times you sign in, together with your email address, IP address and country, the steps you complete, and any action the demo refuses.
  • Email: when you email us, we collect the content of your message and your email address. If you email support@ftstech.ai, your message may be added to your organisation’s support ticket in the customer portal. A message we cannot match to a portal user, for example one from a person without an account, is held in a list that only FTSTECH staff can see until we have dealt with it.
  • Customer portal accounts: when you create an account, we collect your name and work email address. Sign-in is provided by Amazon Cognito, which also holds your sign-in credentials and the secret for the authenticator app you enrol; FTSTECH cannot see either.
  • Your organisation: the organisation’s legal or trading name, its ABN if you provide it, its email domain, the people who use the portal and their roles, and the name, role and email address of each contact your organisation adds.
  • Requests and support tickets: the information you enter in a request (such as an evaluation, a guided demo, a quote or services) or a support ticket, the messages you and FTSTECH staff write, and any files you attach. A sealed report from a Claridis appliance is stored only in its encrypted form.
  • Portal activity and security records: the portal records sign-ins and the actions taken in each account, with the time and the IP address used. Its web server records the IP address, time and page requested for each visit.

The customer portal is for commercial and support information only. Please do not include configurations or other data from your network in requests, tickets or email.

This website, ftstech.ai, does not use cookies, analytics or tracking scripts, and does not load content from other websites. The demo environment at demo.ftstech.ai operates separately: Cloudflare sets a sign-in cookie, the demo sets its own session cookie, and the demo stores a placeholder sign-in token in your browser for that address. These are not used for tracking and cease to function when your slot ends.

The customer portal at app.ftstech.ai sets a cookie that keeps you signed in, and a short-lived cookie that is used only while you sign in. Your portal session ends when you sign out, after 15 minutes without activity, or 8 hours after you signed in. The sign-in page at auth.ftstech.ai, provided by Amazon Cognito, sets its own cookies for signing in. The portal does not use analytics or tracking scripts, and these cookies are not used for tracking.

How we use your information

We use this information to respond to your enquiry, to arrange and deliver your demo (including sending your access details once your booking is approved), and to follow up where you have asked us to. Session records allow us to assist you during the demo and to investigate any misuse of it.

In the customer portal, we use your information to run your account and your organisation’s access, to review new organisations and the people who join them, to respond to your requests and support tickets, to send the email the portal needs (verification codes, invitations and updates on your requests and tickets), and to keep the portal secure, including investigating misuse.

We do not sell your personal information or use it for advertising, and we disclose it only to the service providers named below, who process it on our behalf.

Storage and security

  • Enquiries and demo requests are stored by this website’s form service in the Amazon Web Services Sydney region, Australia, and are encrypted in transit and at rest.
  • Notifications, demo access details and our replies are handled through FTSTECH’s business email service (Microsoft 365), with data stored in Australia.
  • Demos run on a demo appliance in FTSTECH’s own lab in Australia, where session records are also kept. The appliance is restored to its starting state after each demo, so any changes you make within it are not retained. A safety copy taken during that restore is deleted automatically when the restore completes, or, if the appliance was in other use, after at most 7 days. The appliance maintains its own audit record of the demo account’s sign-ins and actions; your IP address never reaches it.
  • The customer portal runs in the Amazon Web Services Sydney region, Australia: the portal and its database on an Amazon Lightsail server, and files and backups in Amazon S3. Amazon Cognito, which provides portal sign-in, holds account details in the same region. Information is encrypted in transit, files are encrypted when stored, and database backups are encrypted before they leave the server.
  • Files you download from the portal are delivered through Amazon CloudFront, which serves each download from the location nearest to you.
  • Verification codes and invitations for the portal are sent by Amazon Cognito from the address no-reply@verificationemail.com. The portal’s other email, including updates on your requests and tickets, is sent from support@ftstech.ai through FTSTECH’s business email service (Microsoft 365), with data stored in Australia.
  • A sealed report from a Claridis appliance can be opened only by FTSTECH, on its own systems in Australia, and never within the portal.
  • For self-paced demos, Cloudflare, our access provider, verifies the one-time PIN sent to your booking email before granting access to the demo. Cloudflare processes your email address and demo traffic. As Cloudflare operates a global network, this verification may take place outside Australia.

Retention

  • Enquiries: deleted automatically approximately 90 days after submission.
  • Demo requests: deleted 90 days after your demo, unless we are in ongoing discussions with you about a purchase, in which case they are retained until those discussions conclude.
  • Demo session records: deleted 90 days after your demo.
  • Demo appliance audit record: the demo account’s sign-ins and actions are held in the appliance’s live audit log for 4 weeks, then moved to an archive on the same appliance in our lab in Australia, and deleted after 7 years.
  • Form service technical logs: 90 days. These logs record errors, not the content of your message.
  • Email correspondence: retained for as long as necessary to deal with the matter concerned.

For the customer portal, the following periods are interim. If they change, we will update this notice.

  • Portal accounts, organisation details and requests: retained until you, or your organisation, ask us to delete the account.
  • Support tickets: deleted 2 years after the ticket is closed, together with its messages (including email added to it) and its files.
  • Sealed reports: deleted 90 days after the ticket is closed.
  • Email we cannot match to a portal user: deleted 90 days after it arrives.
  • Portal audit record: the record of sign-ins and actions is deleted after 7 years.
  • Portal backups: daily database backups are deleted after 35 days, monthly database backups after 365 days, and daily copies of the portal server after 7 days. Information deleted from the portal may remain in a backup until that backup is deleted.
  • Portal technical logs: system logs are deleted after 14 days. Web server access logs are kept in files of a fixed size, and the oldest are deleted as new ones are written.

Who has access

Your information is accessible to FTSTECH staff responsible for sales and support, and to our service providers (Amazon Web Services, Microsoft and Cloudflare) only to the extent required to provide the services described above.

In the customer portal, the people in your organisation who use it can see your name, work email address and role, and your organisation’s requests and support tickets. No other organisation can see them.

Access, correction and complaints

You may request access to, correction of, or deletion of the personal information we hold about you by emailing support@ftstech.ai. We will respond within 30 days. If you ask us to delete your portal account, we close it and remove or anonymise your personal information, except what we must keep to meet a legal obligation or to keep the portal’s security record complete. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (oaic.gov.au).

Changes to this notice

We will update this notice whenever our handling of personal information changes. The date below shows when it was last revised.
